Here’s something we keep running into as we build Zig.
We’ll talk to a sales team. They’ll walk us through their process. And somewhere in the conversation, someone will say some version of: “Yeah, we lost that deal because nobody remembered what the prospect said in the second call.”
Not because the rep wasn’t good. Not because the team didn’t care.
Because the thing the prospect said — a competitor mention, a budget concern, a timeline shift — never made it out of the call and into the system.
The more we dig into how sales teams actually operate post-call, the more we realize this isn’t an edge case. It’s the default.
The Scene We Keep Seeing
Here’s the pattern we’ve observed across almost every team we’ve talked to while building Zig.
A call ends. The rep has maybe four minutes before the next one starts. In that window, they’re supposed to open the CRM, update the deal stage, write call notes from memory, create a follow-up task, find the next contact’s info, and draft a recap email.
That’s 20 to 30 minutes of work. Per call. Every call.
So what actually happens?
The rep jots down two bullet points. Maybe. If they have time. Between three other calls and an end-of-day forecast email, they’ll get back to the notes later. Except “later” is 5:30 PM, and by then the details have gone fuzzy. The competitor the prospect mentioned? Gone. The budget concern they raised about Q3 timing? Half-remembered. The integration question about Salesforce? Paraphrased into something generic.
We’re not describing a bad rep. We’re describing the best ones. The ones who at least try to log something.
What We’ve Learned Actually Gets Lost
One of the things building Zig has taught us is that the industry frames this as a CRM logging problem, as if the hard part is recording and transcription. As if capturing audio is the bottleneck.
It’s not. The bottleneck is turning a 45-minute conversation into structured, searchable, actionable intelligence, and getting that intelligence into the system of record without a human having to do the translation.
Because here’s what a single discovery call actually contains:
Competitive mentions
Budget signals
Stakeholder dynamics
Timing cues
Technical requirements
Objections; some spoken, some implied
Buying intent
Internal politics
A passing comment about a failed migration that might turn out to be the emotional core of a six-figure decision
And so much more.
And what actually makes it into the CRM? “Good call. Prospect interested. Follow up next week.”
The more we study this at Zig, the clearer it becomes: That’s an intelligence loss problem. And the losses compound.
The Downstream Failures We Keep Uncovering
As we’ve gone deeper into the post-call workflow, we’ve started mapping the downstream effects of this gap. They’re bigger than we initially expected.
Forecasts built on vibes, not signals.
If the actual deal signals, i.e., budget confirmation, stakeholder buy-in, timeline commitments, etc., never make it out of the call and into the system, the forecast is built on deal stage and gut feel. We’ve seen teams where the quarterly forecast was off by 40%+ not because reps were sandbagging or being optimistic, but because the real buying signals simply weren’t in the CRM for managers to read.
New reps inheriting deals they can’t read.
When a rep leaves or a deal gets reassigned, what transfers? The CRM record. Which contains, at best, a sanitized version of reality. The new rep doesn’t know what objections were raised, doesn’t know the prospect’s real concerns, doesn’t know the informal commitments that were made. They’re starting from scratch on a deal that’s supposed to be mid-cycle. This is one of the problems we think about most at Zig: how do you make deal context portable?
Coaching without visibility.
This one keeps coming up in our conversations with sales leaders. They know something’s off in a deal, but they can’t pinpoint it until it’s too late. Because the only window into a deal is what the rep chose to log. And most reps, especially the experienced ones, don’t log the messy parts. The hesitation in the prospect’s voice. The question about competitor pricing that got deflected. The subtle shift in who’s driving the conversation. These are the signals a good manager would catch in person. But they’re invisible in a CRM.
Competitive intelligence trapped in individual heads.
This is one we’re particularly focused on at Zig. Across any given pipeline, prospects are telling reps things about competitors — pricing moves, feature gaps, migration horror stories. Each mention is valuable market intelligence. And almost none of it is being captured systematically. It’s scattered across unstructured call notes, mentioned in passing during standups, and forgotten by the time it could inform a strategic decision.
Why We Think This Keeps Happening
Here’s the framing that’s been guiding a lot of our thinking at Zig.
CRMs were designed as systems of record. Databases. Repositories. They’re incredibly good at storing information, IF someone puts it in. But the industry never solved the translation layer: the process of turning a live conversation into structured data that a system can actually use.
So we put that job on the rep. And then we were surprised when they didn’t do it perfectly. Every single time. For every single call.
Think about what we’re actually asking. We’re saying: “Have a nuanced, high-stakes business conversation. Build rapport. Navigate objections. Read the room. And then, the moment it ends, switch into data-entry mode and document everything you just did with the precision of a court reporter.”
That’s cognitive impossibility that they didn’t sign up for.
The information from a discovery call is the primary context for all future engagements. It’s the foundation that deal-stage updates, follow-up sequences, and coaching conversations are built on. And right now, that foundation rests on a four-minute window between back-to-back meetings.
What We’re Building Toward
At Zig, the question we keep coming back to is: what if the rep was never part of the translation loop in the first place?
What if the system handled the entire post-call workflow, from conversation to structured CRM data, without requiring a single click?
That’s the direction we’re pushing.
A call ends. Within minutes, the system has already structured the conversation into its component parts.
Objections logged and categorized.
Commitments flagged with next steps.
Competitive mentions tracked across the entire pipeline.
Buying signals surfaced to the rep and their manager.
All of it written to the CRM automatically, structured, searchable, and actionable.
We’re not there on everything yet. But the early results are striking. Teams going from 20–30 minutes of post-call admin per meeting to essentially zero. Managers seeing real-time deal intelligence instead of waiting for forecast Friday. New reps inheriting accounts with the full story, not the sanitized version.
And competitive intelligence? When every competitor mentioned across every call gets tracked and categorized automatically, patterns emerge that no individual rep could spot.
